We are seeking a highly organized and detail-oriented Customer Service Intern to manage backend customer support operations for Thieme’s online journals and print subscriptions. This role involves handling customer queries, coordinating dispatches, maintaining records, supporting proposal and reporting needs, and liaising with internal and external stakeholders — including the German operations team.
The ideal candidate will have strong Excel and data analysis skills, a commerce background, and a proactive approach to coordination and documentation.

Roles & Responsibilities

  • Customer Support & Documentation
    Respond to customer queries regarding proposals, usage reports, and product documentation
    Maintain up-to-date records of payment receipts
    Assist in preparing customer proposals, reports, and pricing sheets
  • Logistics & Dispatch Coordination
    Coordinate with logistics partners for dispatch and delivery of journals
    Resolve missing dispatch queries or delayed shipments with vendors
    Communicate with end users (institutions, libraries) to confirm deliveries
  • Inventory & Vendor Management
    Coordinate with the German operations team for inventory status and stock movement
    Track and manage journal inventory levels as needed
    Handle vendor license documentation for institutional clients
  • Operational Reporting
    Prepare and analyze Excel-based MIS reports, dispatch logs, and issue trackers
    Support invoicing tasks and follow-ups with accounts or sales teams

Required Background & skills:

  • 0–2 years of experience in customer service, operations, logistics coordination, or data entry
  • Strong Excel skills — including data sorting, VLOOKUP, pivot tables, and report formatting
  • Commerce or operations background preferred (B.Com, BBA, M.Com, etc.)
  • Good communication skills for coordinating with internal and external stakeholders
  • Attention to detail and ability to multitask
  • Familiarity with basic invoicing practices

*Note: The internship period will be for 3 months and may be extended by another 3 months based on mutual agreement.
