We are seeking an enthusiastic and motivated Associate Implementation Manager to join our global Science Journal Publishing team.
You are utilizing a very ‘hands on’ approach and drive in a fast paced and rapid changing environment leveraging strong interpersonal skills. You are eager to work with colleagues and researchers on our submission, peer-review and open access processes and contribute to a framework of continuous improvement.

The team is responsible for the set-up and after go-live maintenance of submission and peer-review processes for our academic journals. This includes a wide range of manuscript level query support tasks for internal and external stakeholders.

Roles & Responsibilities

 
  • Query support: Act as second line support for internal stakeholders as well as authors, editors and reviewers for journal and manuscript matters across pre-submission to editorial acceptance incl. open access. Ensure documentation for first-line support is created, deployed, and updated. Use own initiative for problem solving by taking ownership of tasks and proactively manage through to resolution. Identify and escalate problems affecting services to your manager as appropriate.
  • Implementation management: Implementation of new peer review system sites and successful adaptions to existing sites, both against the background of meeting specific requirements while maintaining or expanding standards.
  • Documentation and Communication: Create, maintain and adjust guidelines and documentation for internal and external use of set-up and after go-live maintenance matters by utilizing their existing knowledge of publishing processes. Gather and use customer feedback to improve documentation. Work closely with colleagues to ensure changes and initiatives are well communicated and implemented. Ensure processes and workflow are documented.
  • Process set-up and change management: Participate and contribute to projects that will make a difference to the publishing service.
  • Customer centric mindset and continuous improvement: Gather and use customer feedback to identify and highlight problems promptly and proposing improvements. Support improvement of processes and workflows.
    Raise and contribute ideas for continuous improvement benefitting your daily tasks as well as the wider business.
  • Quality monitoring: Monitor the peer-review process to ensure delivery of high-quality service. Oversee reporting scheme (KPIs, benchmarks) and routine to continuously measure and monitor compliance. Identify actions and next steps in case standards are not met.
  • Global stakeholders – Close, coordinated collaboration with Science Journal Publishing teams located in Stuttgart, London, New York, Rio de Janeiro and São Paulo, New Delhi, and Beijing as well as with colleagues in Production, Customer Experience, Marketing, Institutional Sales etc.

Required Background & skills:

  • Educated to a degree level
  • Fluent in English (both written and spoken)
  • Familiarity with journal science (academic)
  • In-depth knowledge and proficiency of manuscript submission systems (preferably ScholarOne Manuscripts or also Editorial Manager,) and peer review processes
  • Ability to quickly understand different and adapt to new processes, systems, their dependencies, and interaction
  • Strong analytical, organizational and problem-solving skills combined with attention to detail and a hands-on attitude
  • Reliable and results-oriented working style
  • Strong competency in problem solving, planning and decision making
  • Flexibility to respond to non-routine circumstances
  • Team player with ability to work cooperatively with colleagues at all levels
  • Excellent interpersonal and communication skills

Desirable
